Why do the emails I send go to spam?
Email can land in spam because of authentication, sender reputation, message content or recipient filtering. No setting guarantees inbox placement. Collect recent examples and determine whether the issue affects every recipient or only a particular provider.
Understand the situation before making changes
A manually sent quotation and a website notification may use different sending platforms while sharing the same domain. Identify each source, including billing software, contact forms and sales tools.
SPF, DKIM and DMARC help establish authorized sending and alignment with the visible domain. Correct authentication is part of the investigation, but it does not independently resolve reputation, complaints or recipient policies.
Risks to review
- Adding multiple SPF records or enforcing DMARC rejection before reviewing legitimate senders.
- Repeatedly resending messages to force delivery.
- Buying contact lists or promising guaranteed inbox placement.
Safe recommendations
- Record sender, recipient, time and sending platform for two or three examples.
- Ask for message headers through an appropriate channel without exposing message content.
- Have the administrator review authentication and authorized sending services.
- Compare links, attachments, sending frequency and differences between recipient providers.
- After addressing the identified cause, run controlled delivery tests and monitor the results.
