Why am I receiving so much spam, and how can I stop it?

Report messages as spam or phishing through your email app, avoid suspicious links and establish whether one account or the entire organization is affected. Persistent problems require a review of service policies, exceptions and quarantine. Receiving spam alone does not prove your account was compromised.

Why unwanted email increases

A publicly listed address, marketing lists, data breaches or old subscriptions can increase volume. Attackers rotate addresses and may use compromised legitimate accounts, so blocking individual senders is not a complete solution.

Separate unsolicited advertising, recognized subscriptions and phishing that asks for credentials or payments. A sudden subscription flood may hide a purchase, password change or other important alert. Check sensitive accounts directly through their official apps rather than following email links.

What Outlook and Gmail users can do now

Use the app’s spam or phishing reporting feature. Unsubscribe from newsletters you recognize through a trusted provider feature or by visiting the legitimate site directly. Do not follow unsubscribe links in suspicious messages.

Check safe senders, filters and rules that direct messages into the inbox. Unrecognized forwarding or rules need a security review. Preserve evidence and avoid deleting the entire flood before checking for important alerts.

Microsoft 365: review the service behind Outlook

Outlook is an app and can connect to different email providers. Personal Outlook.com accounts do not have the same administrative controls as business Microsoft 365 accounts. First identify where the mailbox is hosted.

For Exchange Online, an administrator should review the applicable anti-spam policies, priority, quarantine actions, allow lists and rules that bypass filtering. In Microsoft Defender, look under Email & collaboration > Policies & rules > Threat policies > Anti-spam. Available controls depend on permissions and licensing.

Pilot changes with a small group and check false positives before expanding them. Do not allow an entire domain just to fix one customer message. Additional link and attachment protection depends on the subscription; it is not included in every account.

Personal Gmail and Google Workspace

In personal Gmail, report spam or phishing and review filters and blocked addresses. In Workspace, authorized administrators can review Apps > Google Workspace > Gmail > Spam, Phishing and Malware.

Check approved senders, filter-bypass exceptions and organizational scope. Apply evidence-based blocks and verify customer and supplier mail afterwards. A user-level block is not an organization-wide security policy.

What does not guarantee a fix

SPF, DKIM and DMARC support email authentication and domain protection, but publishing your own domain records does not remove all incoming spam. MFA protects account access; it is not a spam filter.

Compare unwanted inbox mail, quarantine and legitimate messages incorrectly blocked over several days. If the problem persists, Soportered can review policies and authorized message samples to find where protection is being bypassed.

Risks to review

  • Blocking all external senders can prevent new customer inquiries.
  • A sudden email flood may conceal fraud alerts.
  • Never share passwords, MFA codes or confidential emails in an initial inquiry.

Safe recommendations

  1. Identify the provider, account type, start date and affected users.
  2. Report samples in the app and preserve sender, subject and time without opening links.
  3. Review personal filters, then request an administrative review.
  4. Roll out changes gradually and check legitimate mail and quarantine.
  5. For unknown sign-ins, change the password through the official site, revoke sessions and review MFA, applications and forwarding with assistance.

When to seek specialized help

  • Spam affects several employees or persists after reporting.
  • You discover unfamiliar rules, forwarding, sign-ins or charges.
  • Contact Soportered with your provider, approximate volume and start date, without sending secrets.
